The Program Administrator is an integral part of the Program Accountability & Evaluation department at RHI.  The Program Administrator is the point of contact for all grants applicants and recipients and ensures the review, selection, and awarding of grants is carried out in accordance with RHI’s standards, policies, and procedures.  This position is also responsible for document and file management, management of committee meetings and agendas and tracking the status of various contracts through the use of spreadsheets and databases.

Job Accountabilities

Coordinating the grant life-cycle at RHI:

  • Editing and formatting application and reviewer packages and conducting administrative review to ensure applications conform to RHI requirements
  • Preparing and circulating reports for decision makers
  • Preparing and reviewing grant agreements, grant amendments and research contracts

Program Administration:

  •  Serving as a key liaison for all grant applicants and recipients
  • Ensuring grant and research contracts are current, complete and accessible by updating and maintaining a variety of databases, internal directories and drives
  • Creating, formatting and proofreading a variety of special reports using tools such as Word, Excel and PowerPoint
  • Scheduling meetings, making necessary arrangements (e.g., meeting dates and locations, required equipment, and catering), preparing agendas with pertinent background information, tracking action items, and taking and distributing minutes
  • Ensuring all files and documents are accurate, complete, timely and formatted according to RHI standards
  • Performing other tasks as required in keeping with the purpose and accountabilities of the position


The ideal candidate will have:

  • Undergraduate degree in a relevant discipline or graduation from a technical college or institute
  • 2-4 years of related experience or the equivalent combination of education and experience
  • Experience implementing and documenting adherence to policies and procedures
  • Experience in file management
  • Previous employment in a research setting is considered an asset
  • Intermediate knowledge of MS Office Suite (Excel, Word, Power Point, and Outlook)
  • Knowledge of grant funding policies and procedures and applicable local, provincial, federal and university regulations an asset
  • Excellent organizational skills and attention to detail
  • Excellent database management skills
  • Excellent communication skills including verbal and oral
  • Strong interpersonal and relationship building skills
  • Written French communication skills considered an asset
  • Thrives in dynamic, high pressure environments
  • Ability to manage and prioritize multiple projects/tasks simultaneously
  • Ability to prepare reports, and cater presentations for diverse audiences
  • Ability to work effectively with a diverse community of stakeholders
  • Ability to work independently as well as in teams
  • Ability to make administrative/procedural decisions and judgments
