The Grants Administrator will be responsible for coordinating the grant life-cycle at RHI. This individual will work with internal and external clients to ensure that the review, selection, and awarding of grants is carried out in accordance with RHI’s standards, policies, and procedures.

Job Accountabilities

Coordinates the grant life-cycle at RHI including:

  • Pre-award phase, including editing and formatting application and reviewer packages, and conducting an administrative review to ensure applications conform to RHI requirements
  • Award phase, including preparing and circulating notification packages
  • Post-award phase, including preparing all grant-related documents including purchase orders, unbudgeted forms, grant approval forms, payment requisition forms, grant agreements, and grant amendments

Develops and implements a system to accurately monitor and report on all aspects of the grant life-cycle including risk and performance.

Provides committee/meeting support including prepares meeting agendas and packages, records minutes, and follows up to ensure timely completion of action items.

Maintains the accuracy and integrity of RHI’s grants files.

Prepares documents including scheduled and special reports, studies, and analyses.

Adheres to best practices in privacy and records management (paper and electronic).

Provides training on relevant policies and procedures, as required.

Prepares and updates grant documents including SOP, forms, and tools.

Serves as a key liaison for all grant applicants and recipients (both internal and external).

Participates in evaluations of grant-funded activity as required.

Performs other tasks as required in keeping with the purpose and accountabilities of the position.


The ideal candidate will have/be:  

  • Undergraduate degree in a relevant discipline or graduation from a technical college or institute.
  • 3-5 years of related experience or the equivalent combination of education and experience.
  • Previous employment in a research setting required.
  • Previous experience implementing and documenting adherence to policies and procedures. 
  • Experience working with grant management databases (e.g., Proposal Central).
  • Thrives in dynamic, high pressure environments.
  • Excellent organizational skills and attention to detail.
  • Ability to communicate (written) in French is considered an asset.
  • Ability to manage and prioritize multiple projects/tasks simultaneously.
  • Ability to communicate effectively, both orally and in writing.
  • Strong interpersonal and communication skills and ability to work effectively with a diverse community of stakeholders.
  • Knowledge of grant funding policies and procedures and applicable local, provincial, federal and university regulations.
  • Ability to prepare verbal and oral reports for various audiences.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to work independently as well as in teams.
  • Excellent database management skills.
  • Excellent knowledge of MS Office Suite (Excel, Word, Power Point, Outlook).
